What Claim-It is
NHIS Claim-It is NHIA’s electronic claims system. Facilities import a claims file, Claim-It validates it, and the claims are submitted to NHIA for vetting. It replaced re-keying paper claims and is where electronic submission is heading.
One point surprises many facilities: Claim-It prices the claims itself, from the G-DRG tariff and the Medicines List in force. What you upload is the clinical and administrative content of each claim; the money is worked out on NHIA’s side.
How the claim month is decided
Claim-It files each claim under a claim month taken from its service dates. You do not choose the month when you import.
- Prepare one file per service month. A file that mixes months makes it hard to see what went where.
- “Imported, but nothing shows this month” almost always means you are looking at the wrong month. Claims with July service dates appear under July, even if you imported them in October.
Read the import report
After an import, Claim-It writes an import report (an HTML file named like ImportReport_….html). It lists the claim month and how many claims passed, passed with warnings or failed, claim by claim.
Keep it. When a question comes up about whether a batch went in, the report answers it immediately.
Why a one-claim file fails
In our experience, a file containing exactly one claim is rejected with “No Data to convert”, with zero passed, warning and failed. The same claim imports normally once there is at least one other claim in the file.
If you need to send a single late claim, include it with others from the same service month.
Re-validation and locked months
- After a tariff, medicine price or credentialing update, Claim-It may ask you to re-validate claims across every month, because it prices claims from the current reference data.
- A locked month (“Claims for June 2026 are locked”) cannot be re-validated or changed from your side. Only NHIA can unlock it.
- Keep to the deadline. Claims must be filed within 60 days of discharge or service under L.I. 1809, and NHIA works to a monthly cycle.
Before you import
- Check every member was eligible on the date of service.
- Check each G-DRG against your facility level and the patient’s age band.
- Check medicines against the Medicines List and your prescribing level.
- Export one service month per file, with at least two claims.
