Frequently asked questions

Implementation, data, NHIS, support — the questions facility owners, medical directors and IT managers ask us most.

How long does implementation take?

It depends on facility size and data migration scope. A clinic typically goes live in weeks; a hospital is phased by department so care never stops. The four-step process — discovery, configuration, training and migration, go-live — is planned with your team against a written timeline.

Do our staff need to be technical?

No. Each role is trained on its own screens — front desk on registration and queue, clinicians on the EMR, pharmacy on dispensing, accounts on billing and claims. The system is designed so the easy path is the correct path.

How does NHIS claims support work in practice?

Eligibility is verified and stamped at the date of service. Clinical documentation maps to G-DRG codes validated against your facility’s ownership, level and catering status, priced from the tariff schedule in force on the date of service. Before submission, every claim passes four pre-vetting checks, and after payment the system reconciles submitted against paid value line by line. The full workflow is on the NHIS & Claims page.

Does Digitrust HMS submit claims directly to NHIA?

Claims are prepared, validated and packaged in the system for submission through the NHIA channels your facility uses — NHIS Claim-it, the e-claims process, or paper where still required. The module is integration-ready for the NHIA standardized e-claims interface, and we track NHIA’s digital rollout (including OTAC/NeHFAMS attendance verification) so facilities stay ahead of requirements.

Who owns our data?

Your facility does. Patient records, financial data and reports belong to you, and structured exports are available. We are custodians, not owners.

What happens when tariffs change?

Tariffs live in an effective-dated table, not in code. When NHIA publishes a revision, the new schedule is loaded and applies from its effective date — while past claims continue to price against the schedule in force on their date of service.

Can we run multiple branches on one system?

Yes. Multi-branch groups get central patient records, central catalogues and consolidated reporting, with branch-scoped roles and permissions. See Analytics & Multi-Branch.

What support do we get after go-live?

Local support from Digitrust Technologies — help during your working hours, refresher training, and scheduled check-ins in the early months. Support terms are agreed clearly in your engagement.

What does it cost?

Pricing depends on facility size and type, users, branches, modules, implementation and integration scope. We provide clear, itemised quotes — see Pricing and request yours.

Can we start small and add modules later?

Yes — that’s the recommended path for many facilities. Start with registration, EMR, pharmacy, billing and NHIS; add laboratory, IPD or multi-branch as operations grow. Everything joins the same record when you switch it on.

Question we haven’t answered?

Ask it on a short call — no slides, just answers.
